Job Summary:

The Logistical Specialist position normally includes, but is not limited to: Setup and teardown of conference center rooms, meeting rooms, and other events within the NIH/NIAID conference center environment. Additional duties may include, but not be limited to: moving equipment, storage, and organization based upon business need. This position has no supervisory responsibilities. Will be assigned to a day or evening schedule, depending upon business needs.

Duties and Responsibilities:

  • Liaisons with staff and client for conference event operations.
  • Communicates daily with team to ensure client’s needs are being met.
  • Reviews event schedules and ensures all room and facility requirements are communicated and fulfilled.
  • Resets, refreshes and turns rooms as necessary in conference center.
  • Wipes down/cleans tables and chairs.
  • Inspects and maintains appearance and functionality of equipment (tables, chairs, etc.) utilized for meetings; identifies and reports issues with non-functioning items.
  • Checks that phones are sanitized and in working condition.
  • Re-sets rooms between meetings.
  • Reports all conference center damage to Maintenance. (i.e., stained carpet, broken chairs, etc.)
  • Assists with Audio Visual as needed. (Will be required to learn basic AV skills)
  • Makes sure meeting room trash is removed and carpets are vacuumed the previous night; reports any issues as necessary.
  • Collects documents remaining after meetings, checking with the Conference Coordinators whether they are to be returned or shredded.
  • Notifies Coordinators if any meetings are running late, so that they may relocate upcoming functions.
  • Coordinates receiving, storage and delivery of materials from speakers, exhibitors, meeting planners and delivery companies; documents and tracks all support items to guard against loss.
  • Performs other duties as assigned.
  • *Must be able to assist with transport and moving/lifting furniture and equipment up to 100 lb

Required Experience:

  • High School graduate or equivalent.
  • Customer service experience
